This policy explains how Hearthwell collects, uses, shares and protects your personal data when you shop with us or contact us, and the rights you have. It covers order, delivery, account, membership and support data for our physical home-comfort products.

What we collect and where it comes from

We collect only what we need to run the store and support your order:

  • Order & delivery data you provide at checkout: name, email, phone, your shipping address, delivery and billing address, and the items ordered.
  • Membership & account data if you subscribe to a plan: plan tier, billing interval and renewal status.
  • Enquiry data from our contact and wholesale forms: name, email, country, message and any details you add.
  • Warmth Finder inputs: the room and comfort answers you choose to generate a recommendation.
  • Payment confirmation data from our payment processor (see below) — never your full card number.
  • Technical & usage data such as device, browser and essential cookies needed to operate the cart and site.

Collection sources

Our collection sources for this personal data are:

  • Directly from you — when you check out, create an account, subscribe to a membership, use the Warmth Finder, or submit a contact or wholesale form.
  • Automatically from your device — essential cookies and basic technical data needed to run the cart, checkout and security.
  • From our processors — order and payment status from our payment provider, and delivery and tracking status from our shipping carriers and fulfilment partner.

We do not buy personal data from third-party data brokers.

Order fulfilment and delivery data

To complete order fulfilment for your physical order, we use your name, contact details and shipping address to pick, pack, ship and deliver your bundle, and to handle returns, exchanges and customer-care requests.

  • Shipping address & contact are shared with our delivery carriers and fulfilment partner only to deliver your order and provide tracking.
  • Order & billing data (items, amounts in USD, billing address, last four card digits from the provider) are used to process payment, produce invoices, and meet tax and accounting duties.
  • Returns & refunds — we use your order and contact details to manage returns, exchanges, refunds and any damaged- or lost-parcel claims with the carrier.

Why we use it and our legal bases

  • To fulfil your order and membership — performance of a contract.
  • To provide support, returns and refunds — performance of a contract and our legitimate interests.
  • To respond to enquiries — your consent and our legitimate interests.
  • To prevent fraud and secure the site — legitimate interests and legal obligation.
  • To meet tax, accounting and consumer-law duties — legal obligation.
  • To send marketing only where you have opted in — consent, which you may withdraw at any time.

Payments and the card-data boundary

Card payments are processed by Stripe. Your full card number is entered on the payment provider's secure page and is never seen or stored by Hearthwell. We receive only confirmation details such as the payment status, the last four digits, and billing metadata needed to reconcile your order. Where PayPal is offered, the same boundary applies: full financial credentials stay with the provider.

Who we share it with

We share personal data only with processors that help us run the store, under contract and only as needed:

  • Hosting & infrastructure — our website hosting and serverless platform.
  • Payment — Stripe (and PayPal where offered) for secure card and subscription processing.
  • Delivery & fulfilment — the carriers and fulfilment partners that pick, pack and ship your order.
  • Email & support — the tools we use to send order confirmations and reply to you.
  • Lead & order storage — our managed database provider.

We do not sell your personal data. We may disclose data where required by law.

International transfers

We are based in the United Kingdom and ship worldwide, so some processors may handle data outside your country. Where data leaves the UK or EEA, we rely on adequacy decisions or standard contractual clauses (or equivalent safeguards) to protect it.

How long we keep it

  • Order and tax records: kept as long as required by accounting and tax law.
  • Account and membership data: for the life of your account, then deleted or anonymised.
  • Enquiry and Warmth Finder lead data: up to 24 months, then deleted, unless an order or ongoing relationship extends it.
  • Marketing consent records: until you withdraw consent.

Your rights (UK GDPR, EU GDPR, CCPA)

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you and request a copy.
  • Correct inaccurate data or complete incomplete data.
  • Erase your data (“right to be forgotten”) where it applies.
  • Restrict or object to processing, including profiling.
  • Data portability.
  • Withdraw consent at any time.
  • For California residents: know, delete, correct, and opt out of any “sale” or “sharing” of personal information.

Do Not Sell or Share

We do not sell or share your personal information for cross-context behavioural advertising as defined under the CCPA/CPRA. If this ever changes we will provide a clear opt-out; for now, no action is needed and you can still contact us to confirm your preferences.

Automated decisions and children

The Warmth Finder gives shopping suggestions based on your answers; it does not make any legally significant automated decision about you. Our store is intended for adults. We do not knowingly collect data from children under 13, and customers aged 13–17 must have guardian consent to purchase. If you believe a child has given us data, contact us and we will delete it.

How we keep it safe

We use encryption in transit, access controls and reputable processors to protect your data. No method is perfectly secure, but we take reasonable steps to guard against unauthorised access, loss or misuse, and will notify you and the relevant authority of a qualifying breach as required.
